Ordering smart gardens and seed kits for a company: quantities, invoicing, delivery and lead times

Placing a bulk order for smart gardens as a company works like any other B2B purchase: add the units to your cart or request a written quote, pay by card or by invoice (net 14 days once we have verified your company), and expect dispatch from our Tallinn stock within 1 working day for anything that is in stock.

Buying one smart garden for a kitchen counter is simple. Buying ten for an office, several branches, or a client gift list raises different questions: how many units can you actually get at once, what happens to VAT across borders, who pays if a unit needs a spare part under warranty, and how long delivery really takes. This article covers quantities, invoicing and lead times from the point of view of a company placing a business order, not a single household purchase.

How a company order differs from a one-off purchase

A private buyer almost always pays by card at checkout. A company order usually adds two extra steps: a written quote and, often, an invoice. For larger or mixed orders, or for delivery to more than one address, we prepare a quote that lists every product, the VAT treatment and the delivery cost, valid for 30 days so it can be filed alongside other offers. Once we have verified a company’s registry code or VAT number, we can issue the order on an invoice with net 14-day payment terms instead of taking payment upfront; public institutions such as schools and municipalities get net 30 days. Anyone can still simply order online and pay by bank link or card if that is quicker for a small order.

Which smart garden suits your team or office

The right model depends mostly on how many people will use it and who is responsible for topping it up. A compact 5-pod unit suits a small team that wants a windowsill herb patch, a 12-pod unit is the common choice for a shared kitchen, and a 21-pod system is aimed at a larger office or canteen that wants a steady supply rather than a token plant. Manufacturer specifications are the source for pod counts and reservoir capacity; none of the figures below are our own test results.

Prices above are our current list prices including Estonian VAT; a company quote shows the same lines with and without VAT so you can see the net cost. Our full smart garden range and the LetPot model comparison cover the sizes in between if none of the three above is an exact fit.

VAT, invoicing and payment terms for businesses

Our list prices include Estonian VAT at 24%, and that is what an Estonian company pays regardless of order size. A company based in another EU country pays no Estonian VAT on an order shipped from our Tallinn stock, provided it holds a VAT number that validates in the EU’s official VIES register; that is an intra-Community supply, both VAT numbers go on the invoice, and the buyer accounts for the VAT in its own country. If a foreign company does not have a valid VAT number, we charge that country’s VAT rate instead of Estonia’s, never 0%. This is a plain-language summary, not tax advice, so check anything unusual with your accountant. We can also send e-invoices to Estonian companies registered as e-invoice recipients, and arrange them on request for buyers in Finland, Latvia and Lithuania.

Delivery, lead times and ordering in quantity

All stock is held in our Tallinn warehouse, and anything in stock is packed and dispatched within 1 working day of the order or the confirmed quote. Exact delivery time to your address depends on the carrier and the destination, so a quote states it explicitly rather than us guessing; broadly, deliveries inside the EU run through either our lower-cost or our higher-cost shipping zone depending on the country, and the precise figure is always shown at checkout or in the quote. If a model or the full quantity you need is not currently in stock, we say so in the quote together with the date we can confirm, rather than taking an order we cannot fill on time. We do not publish fixed volume-discount tiers; for a mixed or larger order, a written quote is the way to see the real total, and we can split delivery across several addresses if your teams or branches are in different locations.

Warranty, spare parts and running costs after you buy

Every unit carries the 2-year EU legal guarantee, which we handle ourselves from Tallinn rather than routing you to a manufacturer abroad. We keep the parts that wear out fastest in stock, including pumps, EU power adapters, replacement light panels and grow sponge kits, in our spare parts category, so most repairs need only a small part rather than a full replacement unit. Running costs are modest: a pack of 200 grow sponges and a bottle of hydroponics nutrients are each under €25, and manufacturer power ratings put the electricity cost of the light alone at roughly €20–€30 a year per unit on a typical business electricity tariff, run for about 16 hours a day. Budget for consumables separately from the initial purchase price when you are costing out a multi-unit order.

Frequently asked questions

Can our company pay by invoice instead of by card?

Yes. Once we have verified your company’s registry code or VAT number, we can invoice with net 14-day payment terms. You can also pay by bank link or card at checkout if that suits a smaller order better.

Do you offer discounts for buying several units?

We do not publish fixed volume-discount tiers. For a larger or mixed order, ask for a written quote and we will give you the real total for that specific order rather than a generic discount code.

We are a company in another EU country. Do we pay Estonian VAT?

Not if your VAT number validates in VIES. In that case the sale is VAT-free on our invoice as an intra-Community supply, and you account for VAT under your own country’s rules. Without a valid VAT number, we charge your country’s VAT rate.

How fast can you deliver a bulk order?

In-stock items are dispatched from Tallinn within 1 working day. The time the parcel then takes to reach you depends on the destination and carrier, and we state it in your quote rather than guessing; if a quantity is not fully in stock, we tell you the date we can confirm it.

What happens if a unit develops a fault after a few months?

It is covered by the 2-year EU legal guarantee, which we handle directly. Because we stock pumps, light panels, power adapters and sponge kits, most faults are fixed with a spare part rather than a replacement unit.

Can you deliver to several office locations in one order?

Yes. Send us the list of delivery addresses with your quote request and each location receives its own parcel, with the delivery cost for each one shown in the quote.

Where to start

If you already know roughly how many units and which model you need, add them to the cart and pay by card, or contact us with the quantity and destination country for a written quote with VAT and delivery shown separately. For most shared office or classroom setups, the LetPot Senior 12-pod system is the easiest size to budget for, and our about page has our registered company details if your finance team needs them for a supplier check.
